Administrative Assistant Job Description

Supervision:
This position reports to the Arts Center Director.
Supervise volunteers. 

SUMMARY
The Administrative Assistant is responsible for the clerical and administrative support as well as assists the Director of Finance and HR, the Gallery Manager, and the Business Development Manager contracting and overseeing the setup of events and exhibits located within the Fort Worth Community Arts Center.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide outstanding customer service to clients, the public, and colleagues.

  • Responding effectively and courteously to inquiries from all sources, and processing phone calls accurately.

  • Assist in the preparation for exhibits and events. 

  • Maintain website calendar and Twitter for the Arts Center.

  • Maintain paper and electronic filing systems.

  • Data entry and retrieval; maintenance of databases as required.

  • Process timesheet information.

  • Must be available evenings and weekends, as required.

  • Manage office leasing, including invoicing and tracking payments.

  • Record credit card and petty cash logs. 

  • Assist in organizing monthly gallery receptions. 

  • Manage life drawing sessions. 

  • Process payments made to the Arts Center. 

  • Maintain Texas Artists Coalition memberships. 

  • Assist in the coordination of the work done by volunteers ensure correct procedures, safety of all work areas, and client satisfaction.

  • May open and secure facilities before and after events.

  • Work in compliance with FWCAC policies and procedures and contracts.

  • Submit for check requests. 

  • Attend meetings as assigned.

  • Other duties as assigned.

QUALIFICATIONS

  • Excellent written and oral communication skills, diplomatic but firm. 

  • Strong detail orientation.

  • Maintain accurate records.

  • Proven ability to work with a diverse array of public and staff, including artists.

  • Ability to effectively multitask under pressure in a fast-paced, customer-focused environment.

  • Experience with MS Office software required; experience with scheduling/booking software preferred.

  • Self-starter with ability to work effectively under little or no direct supervision.

  • Able to contribute positively to a team environment.

  • Able to lift at least 30 pounds.

EDUCATION/EXPERIENCE
Minimum high school diploma or equivalent and two years of administrative support experience.
